The role:
Seeking an exceptional, ambitious Vice Administration Director to create, manage and improve the key administration functions of the business across all regions.
Responsibilities:
- Development and maintenance of the Russian HR document requirements
- Create the HR documents
- Action plan for all standard HR processes e.g. hiring, terminating, sick leave etc.
- Audit of current order and documents regarding employees
- Organizing physical storage of the employee’s
- Documents required by law
- Creation of the system of update of employee’s documents upon their expiration (passports mainly, but also working visas)
- Monitoring legislation regarding HR processes and updating documents within the amendments
- Responsible for onboarding and offboarding all employees and contractors in Russia
- Effective management and storage of HR documentation
- Maintaining general business documents, databases and technical files
- Monitoring performance of both internal and external service providers
- Office management
- Ownership of standard business processes to ensure the business to scale at pace
- Supporting all functions of the Legal and Administrative department including: HR, legal, administration, compliance and finance
- Providing administrative support for the global team, including travel bookings, scheduling, processing expense claims, invoice approvals and taking accurate meeting minutes
- Supporting the development, training and roll out of business systems such as Jira, PeopleHR, SharePoint
Skills & Experience:
- 5+ years Administrative Manager / HR Manager
- Bachelor’s degree
- Highly organized
- Fluent English language skills
- Excellent attention to detail
- Document management skills
- Innovative, finding fast and efficient working methods
- Strong inter-personal skills, to relate to people of all levels
- Some management experience of people or projects
- Demonstrable HR experience
- The ability to work autonomously and as part of a team successfully
