Pro Helvetia Moscow is seeking a Finance and Administrative Manager to join our team. The Finance and Administrative Manager will ensure efficient financial and operational running of the Pro Helvetia Moscow office. She/he will work closely with the Head on financial planning and reporting and assist the team in financial coordination of projects in addition to carrying out some general administrative and organizational/logistics tasks. A successful candidate has no less than 3 years of experience in finance and administrative position.
Finance and administrative manager, part-time (40%)
Plan and manage the PH Moscow financial operation:
- Conduct bookkeeping and accounting.
- Manage and process payments to all PH Moscow partners and collaborators in RU and abroad.
- Prepare quarterly, mid-term and annual financial reports according to the set timeline and form.
- Assist LO Head with annual financial planning and reporting, provide necessary financial data on supported projects.
- Efficiently collaborate with program managers in order to keep updated all financial information about supported projects.
- Liaise with the finance managers in the Swiss Embassy in Moscow and Pro Helvetia Zurich.
- Assist program managers in preparing financial data for analysis of the program and program evaluation reports.
Responsible for office and administrative management:
- Ensure office record-keeping compliance with Pro Helvetia archive keeping regulations.
- Ensure office is stocked with necessary supplies and all equipment is working and properly maintained.
- Collect, organize and store information using computers and filing systems.
- Administrative support of the team in Moscow.
Internal communication and logistics of the projects with other team members
- Ensure that all team members have the necessary information on financial and administrative matters.
Qualifications/Requirements
- A very good knowledge of bookkeeping and accounting, eager to learn new tools.
- Solid administrative skills, attention to detail and respect of deadlines
- Strong interpersonal skills, efficient team-player
- Not less than 3 years of experience in finance and administrative management.
- Good working knowledge of all statutory legislation and regulations.
- Fluent in written and spoken Russian and English.
- Holder of a BA/MA degree in relevant field.
- Understanding and/or interest in working in the contemporary arts and culture field is a plus
