About you:

Knowledge and abilities

  • Fluent English is a must (work language) and Russian fluent to collaborate with HQ in Moscow
  • You have strong critical thinking and problem-solving skills
  • You have strong organizational skills with the ability to consolidate and integrate a wide range of inputs
  • You have vault-like ability to maintain confidentiality and be ultra-discreet
  • You have excellent calendar skills, including coordination of complex internal and external meetings, using both mobile and desktop

Ability to:

  • Build relationships with employees at all levels
  • Handle tight deadlines and last-minute changes, adapt quickly while remaining flexible, and problem-solve independently

Education:

  • Bachelor’s Degree or Master’s Degree in Business Administration, Information Technology, or Management is a plus

Experience:

  • At least 1 year of experience supporting C-level executives or Partners at B2B SaaS companies, or related experience
  • Experience of working with Fintech startup is a plus

 

What You Will Be Doing:

Office Assistant Duties:

  • Organize office and assist associates in ways that optimize procedures
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Monitor level of supplies and handle shortages
  • Resolve office-related malfunctions and respond to requests or issues
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Perform receptionist duties
  • Maintain appointment schedules by planning and scheduling meetings, conferences and teleconferences

Travel Assistance:

  • Planning travel itineraries with detailed transfers
  • Make travel reservations and arrangements
  • Manage all visa related paperwork and processing
  • Maintain and manage a travel expense sheet and present a report at the end of every trip
  • File all invoice related to a particular trip and keep it organised
  • Manage any impromptu changes in travel plan
  • Find the best travel related deals online
