About you:
Knowledge and abilities
- Fluent English is a must (work language) and Russian fluent to collaborate with HQ in Moscow
- You have strong critical thinking and problem-solving skills
- You have strong organizational skills with the ability to consolidate and integrate a wide range of inputs
- You have vault-like ability to maintain confidentiality and be ultra-discreet
- You have excellent calendar skills, including coordination of complex internal and external meetings, using both mobile and desktop
Ability to:
- Build relationships with employees at all levels
- Handle tight deadlines and last-minute changes, adapt quickly while remaining flexible, and problem-solve independently
Education:
- Bachelor’s Degree or Master’s Degree in Business Administration, Information Technology, or Management is a plus
Experience:
- At least 1 year of experience supporting C-level executives or Partners at B2B SaaS companies, or related experience
- Experience of working with Fintech startup is a plus
What You Will Be Doing:
Office Assistant Duties:
- Organize office and assist associates in ways that optimize procedures
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Monitor level of supplies and handle shortages
- Resolve office-related malfunctions and respond to requests or issues
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform receptionist duties
- Maintain appointment schedules by planning and scheduling meetings, conferences and teleconferences
Travel Assistance:
- Planning travel itineraries with detailed transfers
- Make travel reservations and arrangements
- Manage all visa related paperwork and processing
- Maintain and manage a travel expense sheet and present a report at the end of every trip
- File all invoice related to a particular trip and keep it organised
- Manage any impromptu changes in travel plan
- Find the best travel related deals online
