Personal Assistant

Digital Partners Global is a technology company. They make interactive apps for real estate. Behind every great deal there are people working to bring it all together. They are looking for a personal assistant who will provide direct support to the co-founder of the company. Responsibilities will include 40% of business tasks and 60% of personal assignments.

 

 

Duties and responsibilities:

 

  • plan working schedule, keep the calendar (arrange, organize and shift business and personal appointments, organize and control participation in meetings, remind about planned events);

  • collaborate with managers and employees; assign tasks, control their implementation and deadlines;

  • answering phone calls;

  • managing the director’s email inbox, responding to inquiries, and sorting through messages to prioritize important ones;

  • take dictation and minutes;

  • prepare reports and documentation for meetings and appointments;

  • make presentations;

  • coordinating with vendors to make arrangements for services such as catering, housekeeping, etc.;

  • complete personal tasks, such as making restaurant reservations, getting coffee, ordering necessary items, organizing events etc.;

  • coordinate travel accommodations, book flights, trains and taxis; a personal assistant may be required to go along on business trips with the director;

  • assist with household functions such as paying bills, staffing, home operations etc.;

  • have a flexible work schedule and assist when necessary; provide support in any capacity as necessary;

  • actively participate in solving unconventional problems;

  • be on the same wavelength with the director.

 

 

Requirements:

 

  • excellent English (C1-C2);

  • at least 1 year of relevant experience;

  • attention to details, accuracy;

  • high level of responsibility and diligence;

  • ability to multitask;

  • proactivity;

  • ability to stay calm and patient in any circumstances;

  • ability to find a common language with people at all levels;

  • ability to find a creative solution of any problem;

  • ability to find necessary information quickly;

  • ability to maintain the confidentiality;

  • ability to set priorities;

  • confident use of business instruments (task trackers, calendars, Google services, etc.);

  • readiness to adjust to director’s schedule;

  • readiness to stay in contact any time;

  • perfect sense of humor.
