Cartier is searching for an Executive Assistant to the Managing Director. 

 

Key responsibilities:

  • Administrative support to managing director
  • Daily operations
  • Arrange Managing Director business trips planning
  • Coordinate meetings, support MD in the preparation, coordinate and follow-up on participants
  • Prepare administrative documents as necessary and coordinate signatures process
  • Manage and optimize MD calendar planning and follow up on their contacts
  • Execute research & data collection upon MD’s request
  • Manage schedule and tasks of MD’s driver
  • Follow-up on expenses and coordinate with brand management budget holder
  • HQ visits coordination
  • Co-build agenda for visits of International ExCo together with Chief of Staff
  • Be the main visit coordinator and point of contact for International ExCo members
  • Office life coordination
  • Plan regular face to face meetings and follow up on minutes, if needed
  • Organize office team gatherings (birthday celebrations, team building, welcoming events & farewells…) together with ExCo assistant
  • Initiate congratulations and gifts to partners or staff for special occasions
  • Special projects participation
  • Take leadership or contribute to cross-functional special projects upon management assignment


Profile & required competencies:

  • Education: Postgraduate education
  • Professional Experience: 1+ years’ experience in similar position and/or creative industries as a plus
  • Skills
  • Proficiency in Excel and PowerPoint
  • Project Management
  • English fluent (mandatory)
  • Great writing skills
  • Interpersonal & behavioral competencies
  • Able to multi-task and reliable
  • Good sense of artistic and luxury aesthetics
  • Strong organizational skills, and capacity to manage multiple priorities
  • High level of integrity, loyalty and confidentiality
  • Excellent communication and interpersonal skills, with capacity to adapt messages taking into account cultural differences and management levels
  • Self-motivated and able to work independently
  • Proactive, deadline-oriented
  • Team player
