Institute of Social Technologies is looking for a forward-thinking Event Manager who successfully combines Event Planning and Bidding & Prospects, full-time involvement with irregular working hours and weekend commitment.
Seldom short-term business trips to CIS countries and the EU are expected.
Main role: Leading the process to bid for and secure humanitarian, business and educational events that deliver social, cultural, or economic outcomes to UN and its family structures, EU Social and MSMEs projects.
Main Responsibilities as a Bidding Manager:
Evaluates RFPs posted by EU commissions / UNDP / UN-Women, etc. and determine the most efficient and effective bid strategy
Liaises with business development, contracts and proposals, and operations teams to ensure that the proposal and strategy meet the business needs
Consults with subject matter experts to determine labour requirements, develop processes for non-standard activities, confirm client-specific bidding standards and verify assumptions on specifications not identified in RFP
Modifies the proposal text (methodology) to reflect study requirements and assumptions specific to the opportunity and ensures the proposal text/project plan aligns with a budget
Prepares proposals and revisions for basic to moderately complex opportunities
May interact with the client to assist in determining requirements and service levels
Attends pre-bid online conferences with the client, bid review or presentation, defends budget to the client
Searches, recruits and prepares a portfolio of missing personnel to submit the offer
Updates and maintains corporate databases as required and ensures accurate information is included in tracking reports
Main Responsibilities as an Event Manager:
Conducts kick-off meeting with the client and company’s general manager
Allocates the company’s labour resources to the execution of the contract
Contracts with additional staff, subcontractors; interacts with freelancers
Allocates roles and tasks among the project team
Strictly monitors the deadlines, delivers reports to the client
Keeps track of project expenditures adheres to the framework of the budget provided
Monitors the company’s image and the interests of key stakeholders
Mitigates risks and promptly responds to force majeure
Additionally expected:
Joins other projects and assists team-members
Maintains up-to-date information on the company website and LinkedIn profile
Helps with the translation of internal documents and business correspondence
To be successful in this role, you will need:
Minimum of 5 years’ business-related experience and/or event attraction experience
Strong English written communication skills (Advanced English is a must)
Strong Russian written communication skills (Advanced Russian is a must)
Excellent research and analytical skills
Proven track record of working cooperatively across a wide range of organisations both nationally and internationally
Strong communication and presentation skills (written and verbal) and a positive attitude
Tendering/ bidding/ proposal creation experience is an advantage
Bachelor or Master’s degree in political sciences, international relations/law, world politics is a big asset

Proficient in Microsoft Office (e.g. Word, Excel, Outlook, and PowerPoint)
