The Embassy of the Republic of Rwanda works to support the Rwandan Government’s foreign policy objectives in the Russian Federation. Now they have a vacancy for an Administrative Assistant to Defence Attaché.
This is a 12 months fixed term contract with potential for further contract extension at the end of the 12 months.
Main purpose of job:
To work as part of the Rwandan Embassy Employees and in close collaboration with the Ministry of Defence and other Government Institutions in the Russian Federation.
Responsibilities:
Support the office of Defence Attaché (DA).
Translate Embassy approved English documents into Russian and vice versa.
Compose and type routine letters, reports minutes of the meetings from the office of DA.
Schedule and arrange meetings and conferences for the DA and notify interested parties.
Make travel arrangement as needed. Proof read and correct prepared materials from DA office for correct grammar, format, completeness and content.
Create and maintain office files, logs, indexes, control records or other information concerning the work under the supervisor’s control.
Take minutes and records of meetings.
Sort, open and disseminate incoming mail to the DA, files of related materials needed for meetings, correspondence and reports.
Assist in the preparation of budgets and financial reports for the office of DA
Determine needs and other office supplies, equipment, repair and maintenance services related to the DA office.
Run and maintain standard office equipment.
Perform any other related tasks as notified by DA.
Be in touch with other associations related to the assignment of DA accredited to the Russian Federation.

Skills / experience / qualifications required:
Demonstrable 2 years’ experience in office management.
Proven ability in working across a wide range of people, organizations and cultures, with the aptitude to effectively explain policies to those unfamiliar with them.
Graduate caliber and/or qualified by experience, ideally with relevant post-graduate or professional qualification
Fluency in spoken and written English and Russian is a must.
High level of proficiency in MS Office (MS Excel, MS Word)
Proficiency in making online order and follow up
Have an advance Degree/ Diploma in English/ Russian, or any other related field.
